How to Change User Data in Ommnio
Learn how administrators can edit user data in Ommnio, which fields are editable, and the differences between Account and Team Admin permissions.
As an Administrator, you can update any user data as needed from the Ommnio web dashboard. Keep in mind that as an Account Administrator, you will have access to all users, but as a Team Administrator, you will only be able to operate on team members assigned to you by the organization.
✏️ How to Edit User Information:
- Go to the “Users” tab in the Ommnio web version.
- Click the pencil icon next to the user you want to update.
- A form will open—similar to the one used when creating a new user—with all existing data pre-filled.
- Make the necessary changes:
- Name*
- Surname*
- Position*
- Area*
- Phone
- Location (optional)
- Notes
- Related to
- Code
- ID (admins will see that an ID is present -displayed as ******-, but the actual value is encrypted and not visible).
- Language
- Work schedule (default: 9–17h)
- Time zone (account default)
- Tags
- Teams
- Groups
- Profile picture (if uploaded)
- Click "Update user" to save. 🔴 Updates take effect immediately and apply globally across the organization.
⚠️ Keep in mind that if you have team membership rules set up, they will be triggered as soon as you save the user. For example, if a rule includes the user in the "Barcelona" team based on their location being "Barcelona", and you edit that field to say "Valencia", the team rule will run—removing the user from the "Barcelona" team (since the condition is no longer met) and potentially adding them to the "Valencia" team, if such a team exists and also has a programmed membership rule.
👥 Administrator Roles and Permissions:
- Account Administrators can view and edit all users.
- Team Administrators can edit only the users assigned to their teams.
- You can assign users the same permissions as your own (within your role and scope).
Users themselves cannot modify their personal data, except for:
- Uploading a profile picture
- Setting their time zone
- Setting their work schedule
