What Data Does My Company See About Me in Ommnio?
The data visible about you in Ommnio depends on who's looking. There are three roles in Ommnio: Account Administrator, Team Administrator, and Member (regular user). Learn more about roles and permissions here.
What your colleagues see
Regular users — your colleagues — can only see basic profile information about you:
- First and last name
- Position
- Department
- Employee code (if applicable)
- Workplace (if declared by your administrator)
- Profile picture (if you or your administrator uploaded one)
This information was provided by your organization's administrator when they created your account. In some cases, companies only register a code, position, and department — in which case you provide your own name and surname when you register.

What administrators see
Account and Team Administrators can see everything your colleagues see, plus:
- Tags assigned to your profile
- Teams you belong to
- Groups you are subscribed to
- Last time you accessed Ommnio
- Total number of messages you have sent
- Acknowledge messages you've received, and whether you've confirmed or are still pending
The difference between Account and Team Administrators is scope: Account Administrators can see all users in the organization, while Team Administrators can only see users assigned to their team.
Your phone number and email
Your phone number and email are only visible to administrators if your company provided them when creating your account (for example, by sending you an SMS invitation). If your company invited you via a link or QR code without using your personal contact data, then your phone number is not visible to anyone — not even administrators. We use it only to identify you and send your login password.

Conversations in groups
Administrators can access all group conversations and shared files as part of their platform management role. All group members can also see messages and files in their groups. For more detail, see Who can read the messages I write in Ommnio?
Private conversations
